2

Get your forwarding address, or give it to your suppliers

Right after signing up, InboxDoc gives you a personal email address. There are three ways to use it - pick whichever fits you.

This is not a mailbox - you don't log in to it. Just send or forward invoices here; they appear in your InboxDoc dashboard within seconds.

Forward manually

Got an invoice in your own inbox? Click Forward and send it to your InboxDoc address - no setup needed.

Give the address to suppliers

Ask suppliers to send invoices directly to your InboxDoc address. They'll appear automatically, no forwarding needed.

Set up automatic forwarding once

A one-time, ~3-minute setup in Gmail or Outlook forwards every future invoice automatically. Step-by-step instructions are in the dashboard when you connect.

3

Watch your invoices appear

Every invoice you forward or receive shows up in a clean table within seconds - vendor, amount, date, and tax pulled out automatically, with flags for duplicates, missing data, and e-invoices (ZUGFeRD/XRechnung).

Forwarding vs. connecting your account directly

Both get your invoices into InboxDoc - the difference is what each one sees.

Forwarding

Only sees what you forward or what's sent directly to your InboxDoc address. Nothing else in your mailbox is ever touched - no account access at all.

Direct connection

Also scans invoices already sitting in your inbox, not just new ones going forward. Requires connecting your Gmail or Outlook account.

Make auto-forwarding effortless

Forward only the emails that are actually invoices, instead of everything.

Gmail

Paste this into a Gmail filter's "Has the words" field (Settings → See all settings → Filters and Blocked Addresses → Create a new filter), then check "Forward it to" and pick your InboxDoc address:

has:attachment (invoice OR rechnung OR фактура OR receipt OR gutschrift)

To also catch invoices already in your inbox, check "Also apply filter to matching conversations" when creating the filter - or select them manually and use Gmail's ⋮ "More" menu → "Forward as attachment" (gmail.com in a browser, not the mobile app).

Outlook

For Outlook, we recommend connecting your account directly instead - no approval wait, and it also picks up invoices already in your inbox.

Prefer to forward instead? Add these as separate entries in a rule's "specific words in the subject or body" condition:

invoice, rechnung, фактура, receipt, gutschrift

Outlook can vary in whether it matches any of these words or all of them - test with one real invoice email first, or add them one at a time if it doesn't catch what you expect.

Frequently asked questions

Is the forwarding address a mailbox I need to check?

No. This is not a mailbox - you don't log in to it. Just send or forward invoices here; they appear in your InboxDoc dashboard within seconds.

Do I still need to forward invoices if I connect Gmail or Outlook directly?

No - a direct connection scans your inbox on its own, including invoices already there. Forwarding is for when you'd rather not grant account access at all.

What happens to the email after it's processed?

Only the extracted data (vendor, amount, tax, date) is kept. The email and any attachment are deleted immediately after processing, or within 24 hours at most if something goes wrong.
